The Challenge
When a reputable Australian supplier in the Oil & Gas industry approached ICE to move a 16-tonne technical piece of kit, we knew that precision and timing were critical. Our client required a large industrial Rotor to be imported from Dubai, UAE into Melbourne.
The cargo was a single, high-value, and dimensionally critical piece: 16,000 kg and 5 x 2 x 2 metres. As is common with such critical components, the project was time-sensitive, requiring the fastest and most secure transport solution possible—air freight—followed by an immediate, controlled delivery to the final site near Melbourne.
The major challenges were:
- Local Logistics Complexity: Executing a precision-timed and highly coordinated movement from Sydney Airport (SYD), including customs clearance, specialised craning, and dedicated interstate road transport to avoid any delays or storage charges.
- Aviation Constraints: Securing capacity on a freighter service large enough to accommodate the height and weight of the rotor.
- Origin Coordination: Ensuring the cargo was properly presented, documented, and delivered to the airline with a competent partner in Dubai.
Our Solution
ICE’s Project Cargo Manager, Marcus Mangiafico, and team implemented a rigorous, two-pronged approach, focusing on meticulous planning at both origin and destination simultaneously.
1. Origin and Air Freight Coordination
Working with a trusted, competent shipping agent in Dubai was paramount. Together with our agent, ICE conducted:
- Pre-Shipment Consultation: Our agent in Dubai visited the client’s site to inspect the cargo, confirm all dimensions and lashing points, and ensure proper cargo presentation for air transit.
- Airline Negotiation: Due to the size and weight, the booking was confirmed on a freighter service into Sydney (as a direct service to Melbourne was not available for that route). The team had to coordinate with the airline on two potential uplift dates (Monday or Wednesday) to ensure preparedness for either scenario, demonstrating flexibility and contingency planning.
- Documentary Control: Full documentation sets, including the Air Waybill and customs instructions, were prepared well in advance of the uplift.
2. Precision Local Handling and Delivery
ICE focused on creating a seamless flow from the moment the aircraft landed in Sydney to the final delivery in Melbourne:
- Dedicated Interstate Run: The plan involved a direct unpack from the air pallet, immediate crane-lift onto the dedicated trailer, and a non-stop run from Sydney to the client’s premises near Melbourne, with an overnight hold at a depot if necessary, for a first-start-of-day delivery to the client.
- Proactive Terminal Planning: The team liaised with the Sydney air cargo terminal operator (Dnata) and stakeholders (transport, cranes) days in advance to outline the operation, including expected arrival, cargo presentation, and the precise goal for clearance.
- Mitigating Delays: To ensure a swift exit and mitigate costly storage charges, ICE pre-booked and staged both cranes and a dedicated transport trailer to be on-site at the terminal first thing in the morning after the flight landed.
